How do I manage gift vouchers that I am selling for any activity within IBIS?
We recommend the following method however there is no right or wrong way for managing this.
Note: please see "Gift Vouchers' in our help guide for instructions on how to set up your thermal ticket printing options or use pre-printed gift vouchers and envelopes for a more professional appearance.
1. In the ticketing tree, create a new product called Gift Voucher with your information centre as the operator.
2. If you use thermal tickets, change the product type to open-dated, so that the vouchers print out without an activity date.
3. In the Duration field type in the number of days that your gift voucher is valid for in the following format e.g 365d mean 365 days.
4. If you have pre-printed gift vouchers, record the ticket id on it before selling the product and taking payment. Otherwise, print out and process the voucher as usual.
5. When the gift voucher is redeemed, find the original gift voucher ticket (using the ticket id) and cancel it. (Do not yet process the refund to the customer)
6. Select the white box to the left of the Name field, to open the Customer File screen from the cancelled ticket.7. Select + Ticket and book the activity the client would like to redeem with their gift voucher as usual (do not yet process the payment).
8. Return to the Customer File Screen and select the To POS button at the bottom of the screen.
9. Both tickets will appear in POS.
10. If the chosen activity is the same price as the gift voucher, you will still need to complete the $0 sale - just choose cash as the payment type. If the chosen activity is more expensive than the orginal gift voucher price, process the difference as usual.
How do I set up invoicing for brochure display?
You will need to use the Point of Sale and Accounts module in order to set this up.
1. Under Stock > Retail Items, create a new item (called Brochure Diplay) with your company as the supplier.
2. Under Accounts > Account List, set up the Account Use 'Point of Sale' for customers you would like to invoice (click the Account Use cell for the account and tick Point of Sale - remember to save your changes ).
3. Take the Brochure Display item to POS, select Payment and Charge to Account.
4. Add a note from the Charge to Account screen. This is the reference that will appear on the customer’s invoice, so it would be appropriate to enter ‘Brochure Display’ or similar here.
3. There will now be a pending invoice for that account, ready to generate and print.
